A WhatsApp shared inbox where every chat has an owner.

Your whole team works one business number, each from their own login. Employees see the cases they own. Managers see everything, live.

What goes wrong with one shared phone.

Sharing a number solves access. It creates three new problems.

ownership
Everyone sees every chat, so a message can be read by five people and answered by none.
boundaries
Every employee can read every customer's messages and documents, including people who left last month.
handover
When a chat changes hands, the context stays with whoever had it, and you cannot see who replied.

How the inbox works.

Built on the official WhatsApp Cloud API. Customers see a normal WhatsApp conversation with your business.

  1. One number, separate logins

Every employee signs in as themselves, on a laptop or phone. Removing someone ends their access, not just their login.

  2. Every message tied to a case

Text, images, PDFs, documents and voice notes, in and out, with live delivery state on each message.

  3. Employees see their own cases

Search and the inbox respect who is allowed to see what. A customer's documents stay inside that case.

  4. Managers see all of it

A live view of team threads. A manager can reply in a thread or take the case over.

  5. Handover keeps the history

An employee requests a transfer with a reason and a manager approves. History is kept, and the old owner loses access at once.

What it does not do.

  • One business number per account. It does not combine several numbers or other channels such as Instagram or email.
  • The number connects through the Cloud API, and staff work in the Clientlo dashboard. Using the WhatsApp phone app on that same number is not available today.
  • WhatsApp's 24-hour service window still applies. Outside it, only a pre-approved template can be sent, and the composer changes to match.
  • Meta charges for WhatsApp messages separately and bills your business directly.

Questions.

Do customers notice anything different?
No. Customers never log in. They only ever see a WhatsApp conversation with your business.
Can employees see each other's chats?
No. An employee sees their own cases, plus a short summary of unassigned ones without the messages or the contact. Managers see every case in the business.
Can a manager step into a conversation?
Yes. A manager can read team threads live, reply in the thread or take the case over.
Can we keep using the WhatsApp phone app on this number?
Not today. Staff work in the Clientlo dashboard on a laptop or phone. We go through which number to connect with you during onboarding.
Do we need to install anything?
No. Clientlo runs in the browser. Your team signs in with their own accounts.
